Missed-call cost calculator

Calculate What Missed Calls Cost Your Fleet.

A missed call cost calculator for transportation businesses: pick your vertical, adjust three assumptions, and see the monthly and annual revenue going to voicemail — then decide what to do about it.

Run your numbers

Run your numbers: the missed call calculator starts from your vertical’s preset — edit every assumption to match your fleet.

Methodology — so you can check our math

Lost revenue = missed calls per day × average booking value × the share of missed callers you never recover, × 30 for the monthly figure and × 365 for the annual figure. The vertical presets are based on TransportBPO’s internal analysis of fleet client onboarding data; they are starting points, not industry statistics — edit every assumption to match your operation. The estimate deliberately ignores repeat-customer lifetime value and reputation effects, so the real cost is usually higher.

The math behind the number

How much revenue do missed calls actually cost?

Three factors decide the cost of an unanswered phone: volume, job value, and caller behaviour. A missed call is only “free” if the caller waits for you to call back — and in urgent ground transport, they rarely do.

Why after-hours calls go to voicemail

Without a night desk, every call after close hits voicemail — and callers with an urgent job (a breakdown, an airport run, a failed delivery) dial the next company instead of leaving a message.

Why the loss compounds

A missed first-time caller isn’t one lost job — it’s every job they would have booked afterwards, plus the referrals. The calculator ignores that on purpose; the honest number is still big enough.

How to reduce missed calls

Answer every call, every hour, in your name. Whether that’s in-house night staff or an outsourced live desk, the fix has to cover the hours where the losses concentrate — nights, weekends, and peak overflow.

Calculator questions

Asked before the sliders move.

It depends on three numbers: how many calls you miss per day, what an average booking is worth, and how many missed callers never come back. A towing company missing four $220 jobs a night, losing 80% of those callers, is losing roughly $21,000 a month — the calculator above lets you run your own numbers.
For fleets with no overnight desk, every after-hours call goes to voicemail by definition — and in TransportBPO’s internal analysis of client onboarding data, most callers who reach voicemail for an urgent job (a tow, a ride, a delivery problem) simply call the next company on the list rather than leave a message.
Three options: staff an in-house night desk (reliable but expensive), use an AI answering bot (cheap but limited on judgment calls), or use a live outsourced dispatch desk that answers in your name inside your software. The right answer depends on call volume and job value — the calculator shows what the status quo costs while you decide.
It is deliberately conservative and fully transparent: the output is missed calls per day × average booking value × the share of callers you never recover, projected to monthly and annual totals. Every assumption is editable, and the presets are based on TransportBPO’s internal analysis of fleet clients — not third-party claims.
Usually, yes. A shared 24/7 desk costs a fraction of a fully-loaded in-house dispatcher, and the first week is free — so you can measure recovered bookings against the calculator’s estimate before spending anything.
